Exhibition Stand Cost in Dubai: 12 Items to Budget Before You Compare Quotes
Exhibition stand quotations in Dubai can look similar at the top and describe very different scopes underneath. One proposal may include venue drawings, lighting, screens, installation and on-site support. Another may cover only the visible structure. Comparing only a price per square metre can therefore hide the items most likely to change the final budget.
This guide does not publish a standard price because the correct scope depends on the show, venue, stand location, design and technical requirements. Use the twelve items below to issue one consistent brief and ask every contractor to state what is included, excluded and provisional.
1. Exhibition space and stand type
Start by confirming whether you booked a shell scheme or space-only plot. A shell scheme includes a basic structure defined by the organiser. A space-only stand normally requires the exhibitor and contractor to coordinate the full design, approvals, construction and removal. Record the exact dimensions, open sides, maximum permitted height and any columns or service points inside the plot.
2. Concept and detailed design
Ask whether the quotation includes only initial visuals or also the drawings needed for production and venue approval. Confirm how many design revisions are included and what happens when the brief changes after approval. Give the contractor a clear visitor goal: product demonstration, meetings, hospitality, lead capture or a combination of these.
3. Venue and organiser approvals
Every show has its own deadlines and technical rules. The scope should identify who prepares and submits drawings, engineering information, method statements and other required documents. The organiser or venue remains the authority for its requirements, so confirm current rules for the specific event rather than relying on a previous show.
4. Structure, joinery and finishes
List the elements that make up the stand: walls, raised floors, storage, counters, meeting rooms, product displays and overhead features. Ask the contractor to state the proposed finish for each visible surface. A concept image alone does not explain material quality, edge details or how the stand will look under exhibition lighting.
5. Graphics and signage
Separate artwork preparation, printing, installation and removal. Confirm the number, size and material of graphic panels, dimensional lettering and illuminated signs. Agree artwork deadlines and file specifications before the final export. Late artwork changes can affect production and installation, so name one person who can approve the final files.
6. LED walls, displays and interactive technology
Define what each screen must achieve. A large LED wall designed to attract visitors has a different role from an LCD display used for a product demonstration or an interactive screen used for lead capture. Ask the supplier to specify the display, mounting method, playback equipment, cable route, content format and technical support. See the related guide on planning screens for an exhibition stand.
7. Lighting and power
Separate decorative lighting, product lighting and the power required for AV, appliances and charging. Confirm who calculates the power requirement and coordinates the order with the organiser. Ask how cables and distribution will be integrated safely into the stand without disrupting visitor routes or the intended design.
8. Furniture, equipment and hospitality
Prepare a schedule for every counter, stool, meeting chair, table, storage unit and appliance. State whether items are rented, custom made or supplied by the exhibitor. If the stand includes coffee service, refrigeration or catering equipment, confirm space, power, water and operating responsibilities early.
9. Transport, site access and installation
The budget should identify transport, loading access, labour, equipment and installation windows. Dubai exhibitions can have strict vehicle routes and move-in schedules. Share the organiser manual and the contact responsible for site coordination. If the schedule is compressed, ask the contractor to explain the proposed installation sequence.
10. On-site support during the show
Decide whether you need a stand manager, AV technician or rapid technical support during opening hours. Confirm the covered hours, response arrangements and any consumables or replacement equipment included. If presentations or live demonstrations are central to the stand, include a test and handover before the show opens.
11. Dismantling, return and storage
Removal is part of the project, even though it happens after visitors leave. Confirm the dismantling window, waste handling, return of rented equipment and ownership of custom components. If the stand will be reused, ask which items can be stored and what information is required before the next event.
12. Changes, exclusions and contingency
Ask every bidder to list exclusions and provisional allowances. Agree how additional work will be authorised and recorded. A clear change process protects both sides when the organiser changes access, the content arrives late or the exhibitor adds equipment after the design has been approved.
A comparison table for your quotations
Put the following rows into one worksheet: design; approvals; structure; finishes; graphics; LED and AV; lighting; power coordination; furniture; logistics; installation; show support; dismantling; storage; exclusions; taxes and payment schedule. Ask each contractor to respond against the same rows. The result is more useful than comparing two headline totals built from different assumptions.
What to send with your first enquiry
Send the show name and dates, venue, stand number, floor plan, stand dimensions, open sides, organiser manual, brand guidelines, visitor goals, products, meeting requirements, screen content and target budget range. If some details are unknown, mark them as decisions to resolve rather than leaving them invisible.
Discuss an exhibition stand with IDS
IDS coordinates exhibition stand projects with display, AV and technical production integrated into the brief. Send your floor plan, show name and dates so the team can review the actual space and prepare a scoped proposal.

Frequently asked questions
Can I compare exhibition stand quotes by price per square metre?
Use it only as an initial reference. Verify design, approvals, materials, AV, logistics, installation, support and dismantling before treating two proposals as comparable.
When should I request a stand quotation?
Start after receiving the organiser information and floor plan. More time allows design development, approvals, content preparation and coordinated production. Confirm the actual deadlines for your show.
Should AV be quoted separately?
It may be a separate section, but it should be coordinated with the stand design. Screen weight, mounting, viewing distance, power, content and operator access affect the structure and layout.
