A screen proposal is easier to evaluate when every supplier receives the same brief. Before asking for LED screen rental in Dubai, describe what your audience needs to see, where the screen will be used and how the event will run. A useful brief helps suppliers ask the right questions and makes gaps in competing quotations easier to spot.

1. Start with the job the screen must do

Write one sentence about the screen’s purpose. Will it show presentation slides, a product film, live camera feeds or a branded background? A screen supporting a speaker has a different content brief from a screen attracting people walking past an exhibition stand. List the content types and identify anything that must be readable, such as small text or product details.

Share a sample slide or video. If content is still being designed, tell the supplier who will create it and when the first version will be available. This is more useful than choosing a screen only from a reference image.

2. Describe the venue and audience layout

Include the venue name, event date and indoor or outdoor setting. Add a floor plan or annotated photograph showing the proposed screen position, seating and audience routes. Note the closest and furthest expected viewing positions, rather than only stating room capacity.

Ask how the proposed screen suits that arrangement. Mention daylight, strong lighting or filming requirements. A configuration used at another event will not automatically suit this one.

3. Confirm access, installation and removal

The event start time is only one part of the schedule. Include permitted delivery windows, setup access, rehearsal time and the removal deadline. Identify the venue contact who can confirm loading access, routes and approval requirements.

Ask who handles the supporting structure, power arrangements, cable routing and venue coordination. Make responsibility explicit before work begins. The supplier and venue team should confirm technical suitability for your event.

4. Agree the content handover

Request content dimensions and accepted formats before your designer exports final files. Confirm whether you need one full-screen layout or several content areas. Describe the playback source and any switches between slides, video and live feeds.

Agree a file deadline and test window. Keep a clearly named final version so the onsite team does not have to choose between nearly identical files. If speakers may update presentations, decide who authorises changes and how replacements reach the operator.

5. Compare the scope, not just the headline total

Compare delivery, installation, dismantling, control equipment and onsite operation where applicable. Confirm support during the event and what happens if the schedule changes.

Do not assume that an omitted item is included. Ask for clarification in writing when suppliers describe packages differently. Budget discussions are more productive when everyone is pricing the same requirements.
