IDS / EVENT PLANNING GUIDES
Planning Screens for an Exhibition Stand
Before choosing a display for an exhibition stand, decide what a visitor should do: notice a product, watch a demonstration or begin a conversation. That purpose should guide the content and layout.
Choose one primary visitor action
Write the goal in a short sentence. For example, a visitor should understand one product benefit and ask the team for a demonstration. Use that goal to decide what belongs on the screen. A long company presentation may be suitable for a seated meeting but hard to follow while walking past.
Work from the stand layout
Mark the display, entrances, meeting area and expected viewing position on a floor plan. Allow room for people to pause without obstructing circulation. Coordinate the display with the stand builder before decorative finishes and structural details are fixed.
Design for a passing audience
Make the opening message understandable without seeing the beginning of a long film. Use clear visual hierarchy and readable text. Plan for the possibility that visitors cannot hear the soundtrack. Captions and simple demonstrations can help convey the idea, but they should be tested at the intended viewing distance.
Coordinate the content surfaces
If the stand uses several screens, assign a job to each. One might introduce the brand while another supports a product conversation. Confirm dimensions and file requirements with the technical team before final export. Do not stretch one asset across different formats without review.
Plan the operation
Identify who starts the content each day, replaces files and reports a problem. Confirm permitted installation and removal windows with the venue and stand contractor. Document the agreed responsibilities for the display, content and event support.
A useful first brief
Send the event date, venue, floor plan, visitor goal, sample content and setup timetable. Include any constraints already issued by the organiser. IDS can discuss display and exhibition requirements against that brief; final scope and availability should be confirmed in the proposal.
